Designing digital signage for a glance: the single-message rule

Digital signage is a glance medium. Learn how to apply the single-message rule, safe margins, and high-contrast design to make your screens instantly legible.

The most common mistake in digital signage is taking a promotional poster, complete with a paragraph of text, four logos, three prices, and a phone number, and stretching it to fit a 43-inch television. This approach fundamentally misunderstands the medium.

A digital screen is not a static canvas for leisurely reading. It is a glance medium. In a fast-casual queue or walking past a shop window, a guest in line has five to ten seconds of attention to give a screen. If their eye cannot find a focal point instantly, the message fails completely.

The single-message rule and cognitive hierarchy

To fix a cluttered screen, you must adopt the single-message rule. A screen must convey one primary idea per slide, featuring one dominant visual element. If you have a new product launch, a change in operating hours, and a loyalty program sign-up, they cannot share the same screen real estate. They belong on separate slides in a scheduled playlist.

To enforce this, signage practitioners use the 3x5 heuristic (Look Blog). A slide should contain no more than three lines of text with five words per line, or five lines with three words per line. If your message cannot fit this budget, it is too complex for a glance medium and must be broken down into a multi-slide sequence.

The squint test for visual hierarchy

Before you publish a slide, step back from your monitor and intentionally squint your eyes until the design blurs. This removes your ability to read individual words and leaves only the structural massing of the layout.

Under the squint test, a successful slide still communicates its core structure. The dominant element, like a bold headline or a high-contrast image, remains obvious. If your squinted view reveals a homogenous gray block of text or multiple elements competing for attention, the hierarchy has failed.

Why centered body text fails

Graphic designers often favor center-aligned text because it looks symmetrical. For digital signage, centered text is a major point of failure. Reading is not a smooth motion. The eye works in jumps, and it needs somewhere predictable to land.

Left-aligned text creates a consistent, predictable left edge. When the eye finishes one line, it intuitively knows exactly where to snap back for the next line. Centered text staggers the starting point of every line. The eye has to actively search for the beginning of the next sentence, which causes a micro-delay in cognitive processing. In an environment where you only have three seconds to communicate, that delay is catastrophic. Left-align body text, and keep centre alignment for short, single-line headings. Left-aligned ragged-right text also avoids the need for hyphenation.

Contrast is a requirement of optical physics

Colors interact differently on an emissive digital screen than ink does on paper. When a bright, highly saturated color sits directly next to a dark color, the bright pixels physically bleed into the dark ones. Highly saturated colours are attention-grabbing, but they also contribute to eye strain. The edges of the text lose their definition.

You must maintain strict contrast between your text and background. However, high contrast does not mean maximizing brightness. Using a pure white background on a large screen can increase glare and reduce legibility. Dark backgrounds with bright text improve readability by up to 32 percent, on a figure that page attributes to a 2020 display-ergonomics review.

The edge-to-edge fallacy and safe margins

In print design, you can run an image to the exact edge of the canvas. In digital signage, designing critical elements to the mathematical edge of the screen guarantees data loss.

Many televisions still apply overscan, a legacy broadcasting behaviour that zooms the image in slightly. Screens also get mounted inside enclosures and architectural frames that physically cover the outer pixels.

To prevent a phone number or price from being cropped out, keep all primary information within a safe margin that avoids the outer 5 to 10 percent of the screen, typically 60 to 90 pixels on all sides (Medium, CokerExpo). Background colors and non-critical imagery should still bleed to the true edge to prevent awkward black borders.

The café special

Before: A café displays a list of 30 items, prices, and descriptions across a single screen. The text is tiny, the layout is an undifferentiated wall of text, and the background is a busy photo of coffee beans. Customers experience decision paralysis and default to low-margin orders.

After: The menu is broken down using strict zoning logic. Clear categories guide the eye. The top-left anchor spot is reserved exclusively for a high-margin seasonal special paired with a professional image. The screen relies on dayparting, rotating between a simplified breakfast menu and a lunch menu. Transitioning to an optimized, zoned layout yields an average 3 to 5 percent increase in overall facility sales, and a 5 to 8 percent lift in featured high-margin items (KuuSoft, SmarterSign).

The clinic waiting room notice

Before: A medical clinic tapes a dense printed notice to the reception window explaining insurance policies. Patients repeatedly ask the front desk about wait times, while a corner TV plays muted daytime television.

After: The screen uses a split-zone layout. The largest primary zone displays real-time queue information and average wait times. A secondary zone rotates through simple, 3x5 rule slides explaining the check-in process. Providing visible queue status reduces perceived wait times by up to 35 percent (Kitcast, Xogo).
